Privacy Policy

Helpify (“we,” “us,” or “our”) is committed to protecting the privacy of our clients and their end customers. This Privacy Policy explains what information we collect, how we use it, and the choices you have. If you have questions, contact us at hello@gethelpify.com.

2. Information We Collect

We collect information in two contexts: (a) information you provide when engaging with Helpify as a business client, and (b) data we access from your platforms in order to deliver our services.

Client Business Information

  • Business name, contact name, and email address
  • Company website, social profiles, and public product information
  • Information shared during onboarding calls and communications

Platform Data (for Service Delivery)

  • Shopify order data, product catalog, and customer records (read-only, scoped access)
  • Historical support tickets from Gorgias, Zendesk, or other connected helpdesks
  • Shipping and freight data from connected carriers
  • Live conversation data processed by the AI agent during operation

3. How We Use Information

We use the information we collect exclusively to:

  • Build, configure, and maintain the AI support agent for your brand
  • Train the knowledge base on your products, policies, and support patterns
  • Monitor agent performance and resolve escalations
  • Communicate with you about your engagement
  • Improve our internal methodologies (using anonymized, aggregated data only)

4. Information Sharing

We do not sell, rent, or trade your data. We share data only with the sub-processors necessary to deliver our services:

  • AI model providers — for natural language processing of support conversations
  • Voiceflow — for agent orchestration and conversation flow management
  • n8n — for backend automation and API orchestration
  • Cloud infrastructure providers — for hosting and data processing

Each sub-processor is subject to contractual data protection obligations consistent with applicable privacy law.

5. Data Minimization and Access Controls

We follow a least-privilege access model. Shopify and helpdesk integrations are configured with read-only permissions scoped to the minimum data required to operate the agent. We do not request or store admin-level credentials, payment information, or data beyond what is operationally necessary.

6. Data Retention

Conversation data processed by the AI agent is retained only for the duration of the engagement plus a 30-day wind-down period following termination, after which it is permanently deleted from our systems. Client business information is retained for up to twelve (12) months following the end of the engagement for accounting and legal compliance purposes, then deleted.

7. Security

We implement industry-standard security measures including encrypted data transmission (TLS), access controls, and regular security reviews. While we take reasonable precautions, no system is completely secure. In the event of a data breach affecting your information, we will notify you as required by applicable law.

8. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about your business
  • Request correction of inaccurate data
  • Request deletion of your data (subject to legal retention requirements)
  • Restrict or object to certain processing activities
  • Data portability — receive your data in a structured, machine-readable format

9. Cookies and Analytics

Our website (gethelpify.com) may use basic analytics to understand traffic and improve the site. We do not use third-party advertising cookies or tracking pixels. If we add analytics tools in the future, this policy will be updated accordingly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated to active clients via email. The “Last updated” date at the top of this page reflects the most recent revision. Continued use of our services after changes are posted constitutes acceptance of the updated policy.
