How much revenue is open chair time costing your practice each month?

We bring in patients for the service where you have open chair time, and we follow up so they make it to the chair.

A lead isn't a patient yet. We follow up on every one until they're in the chair.

Your costs stay the same, and that slot brings in no revenue. See if any of these three sounds like your practice.

  1. Your dentist has open slots for higher-priced services.

There aren't enough implant, orthodontic, or cosmetic patients to fill them.

  2. You pay for ads and don't know how many patients they brought in.

You see clicks and leads, but not who showed up. So you can't tell whether the ads are paying off.

  3. How many people left their number this month and still don't have an appointment?

If you don't know that number, you don't know how many of them could still be booked.

The number of additional patients your dentist could see in a month × average treatment value per patient = the revenue your practice misses each month.

Run it in the calculator

The Helpify System

We follow up so the patient from your ad makes it to the chair, because your practice doesn't make money until then.

Step 1. A campaign for one service

We run ads for the service where your dentist has open slots.

Illustrative example, fictional data.

We choose the service based on your schedule and run Facebook and Instagram ads for it, so your budget isn't spread across five services at once. That way, patients from the campaign go to the dentist who has open slots, on the days that are open.

Who does it: Helpify runs the campaign. You choose the service with us.

Step 2. Ad videos

You get 6 ad videos, filmed at your practice.

Format example. This video is AI-generated. In your campaign, real creators film the videos.

A creator, a person who films videos for ads, comes to you to film, so the patient sees your practice in the ad. You approve every ad before it runs.

Who does it: The patient watches. A creator films the videos, we write the scripts, and you approve every ad.

Step 3. Service page with a form

Your front desk calls someone who already knows the price and what to expect.

Sample page, fictional data.

The ad leads to a page for one service at your practice. There, the patient finds the price or a price range, what to expect, how long it takes, payment plans, and answers to common questions. The "Request a consultation" button stays in view as the patient scrolls and opens a form.

Who does it: The patient reads and fills out the form. Helpify builds the page.

New lead

Step 4. Your front desk calls the patient

Your front desk calls the patient and gets up to three reminders about every lead.

Sample text.

Your front desk gets a text with the patient's first name, phone number, and service, so they know what the call is about before they dial. After the call, they mark the result in your Helpify dashboard. Until they do, they get two more reminders, so a lead from your ad doesn't go without a call.

Who does it: Your front desk calls. The system sends the texts and reminders.

Appointment booked

Step 5. Before the appointment and after a no-show

A booked patient gets an appointment reminder. When your front desk marks a no-show, the system reminds them to reschedule.

Sample text.

Once booked, the patient gets a confirmation with the appointment time, then a reminder before the visit so they don't forget. When your front desk marks a no-show, the patient gets a text, and your front desk gets a reminder to call and reschedule.

Who does it: The system. Your front desk marks the no-show.

Showed up

Step 6. Dashboard

You see who left their number, who's booked, and who showed up.

Mockup, sample data.

The dashboard puts four numbers side by side: leads, booked appointments, patients who showed up, and ad spend. You can check them any day and see whether your ads are paying off.

Who does it: The system counts. Your front desk marks the no-show.

Our terms

  • Budget: Helpify's fee doesn't depend on the size of the practice's ad budget.
  • Area: We won't run a campaign for the same service for another practice in your area.

Services

We run the first campaign for one of these services and add a second once the first has a steady flow of leads.

Core services

  • Implants

A campaign for implants, including implant restorations, is for a practice where the implant dentist or oral surgeon has open slots.

    See the implant campaign
  • Orthodontics

One campaign speaks to adults and to parents of kids, and patients come in on the days when your orthodontist has open slots.

    See the orthodontics campaign
  • Cosmetic dentistry

The campaign covers bonding, veneers, and whitening. These are services a patient chooses to have and can put off.

    See the cosmetic dentistry campaign

Entry services

These are low-cost services that bring a new patient into your practice for the first time. The visit itself brings in little revenue. Your practice makes money when the patient stays for further treatment. That's why we suggest them for a practice with an empty schedule or one that's just starting to advertise.

Timeline and fees

We turn the ads on last, once the service page, the videos, and your front desk are ready. That way your ad budget doesn't go to leads your front desk isn't prepared for yet.

About me

Maciej Odrobina, founder of Helpify

I'm Maciej Odrobina, and I run Helpify. I won't hand you off to an account manager, because I'm personally responsible for the work we do together.

I know marketing doesn't work miracles, and every dollar you spend is your risk. If I decide after the first call that working together doesn't make sense, I'll tell you straight.

Working together

We have an agency. How are you different?

You don't have to drop your current agency. The Helpify System can run alongside it on one service, and you can compare what happens after the form with what you have today. Your front desk gets a text when a lead comes in. If they don't mark the call result, they get another text after 15 minutes and a last one after an hour. When they mark "No answer," the system reminds them about the second and third attempts, so one missed call doesn't close the lead. When they mark a no-show, they get a reminder to reschedule.

How much does it cost?

You pay once for the campaign build: the service page, the ad videos, and front desk training. After that, you pay a flat monthly fee for campaign management, and it doesn't start until the day your ads go live. You pay your ad budget separately, straight to Meta. I'll show you the numbers along with a plan for your practice.

What if we don't get many patients?

We don't promise a number of patients, because we don't know it before the ads go live. You pay our fees and your ad budget regardless of results. We're responsible for the deadline: your ads go live no later than 8 weeks after you sign. If they don't and it's our fault, we refund the build fee. The agreement covers at least 3 months of ads, and after that you can cancel with one month's notice. Once your ads are live, the dashboard shows leads, booked appointments, and patients who showed up, so you can see whether it's paying off.

How long is the agreement?

The agreement covers at least 3 months of ads, counted from the day your ads go live. After that, you can cancel with one month's notice.

What do I keep when we stop working together?

You keep the videos and the service page, and the ad account is yours from day one. When we stop working together, we turn off the texts, the dashboard, and campaign management.

Your practice

Who calls the patient? Will my front desk have more work?

Your front desk calls the patient. Helpify doesn't call patients, and no automated system does. Yes, it's more work, because every lead from an ad means a call to the patient and a result to mark in the dashboard. After every lead, your front desk gets a text with the patient's first name and number, plus reminders about the next attempts, and they work from a one-page call script. The training takes 30 minutes.

How will I know how many patients showed up?

You'll see it in the dashboard. It shows leads, booked appointments, patients who showed up, and ad spend, which is what you paid for ads on Facebook and Instagram. Your front desk marks the no-show.

What kind of practice is this for?

The Helpify System is for private dental practices that have open chair time for elective treatment and a front desk that calls patients back. We start with one service. It can be implants, orthodontics, cosmetic dentistry, cleanings, or pediatric dentistry. If you have no open slots for that service, it's better to wait, because the ads would bring in patients you have no time to see.

Will you run the same campaign for a practice near mine?

We won't run a campaign for the same service for another practice in your area. So your ads won't compete for patients with our ads for a nearby practice.

Ads and data

Who films the ad videos?

A creator films them, and you pick the creator from our shortlist. You approve the scripts before the creator comes to your practice. On site, the creator films 6 videos on a phone to start. The videos are included in the build fee. We hire and pay the creator, and you get one invoice from Helpify.

Can an ad run without my approval?

No. You approve every ad before it runs.

What about patient data?

Your practice controls its patients' data. We handle it only on your behalf, under a written agreement with you, and we don't use it for our own marketing or to train AI models.

On the call, I'll show you where your practice may be losing patients between the ad and the chair. You don't need to prepare anything.

You pay once for the campaign build, and the monthly fee doesn't start until the day your ads go live. If they aren't live within 8 weeks and it's our fault, we refund the build fee.

We won't run a campaign for the same service for another practice in your area.
